Room Booking — Critical Policy

  • Out-of-Station Guests Only: Rooms are exclusively reserved for guests traveling from outside the local area (Palakkad & surrounding districts).
  • Mandatory ID: Valid original government-issued photo ID required at check-in — Passport, Aadhaar, Driving Licence, Voter ID, or PAN Card.
  • Local IDs Not Accepted: Any ID reflecting a local address (Palakkad district) will not be accepted. Booking cancelled without refund.
  • Couple Policy: Unmarried couples must provide valid marriage certificate or proof of relationship. Management reserves the right to decline check-in.
  • Age Requirement: Primary guest must be 18 years of age or older. Valid age proof required for all guests.

Hall Booking Policy

  • Advance Booking: Minimum 30 days advance booking recommended to secure your date.
  • Security Deposit: Refundable deposit required at confirmation. Amount communicated during enquiry.
  • Capacity Limits: Hall A: 200 guests max. Hall B: 150 guests max. Overcrowding is strictly prohibited.
  • Outside Food: Permitted only with prior written management approval.
  • Event Timing: Celebrations must conclude by 11:00 PM unless extended permission is granted.

Payment & Cancellation

  • Confirmation: Reservations confirmed only upon receipt of advance payment.
  • 30+ Days Prior: 75% refund of advance paid (excluding processing fees).
  • 15–29 Days Prior: 50% refund of advance paid.
  • Under 15 Days: No refund. Rescheduling subject to availability.
  • Force Majeure: Full credit note valid 12 months for govt-imposed restrictions or natural calamities.
  • GST: All prices exclusive of applicable GST per Indian tax law.

Rules & Conduct

  • Prohibited Items: Weapons, narcotics, and illegal substances are strictly prohibited on premises.
  • Alcohol Policy: Consumption permitted only in designated areas. Kerala Abkari Act, 2019 applies. Valid permit may be required.
  • Damage Liability: Event organizer responsible for any property damage. Costs deducted from deposit.
  • Decoration Rules: Open flames, nails, adhesive tape on walls prohibited without written approval.
  • Vendors: External vendors must register at least 2 hours prior to event.

Legal & Regulatory Compliance

  • These Terms are governed by the laws of the Republic of India. All disputes subject to exclusive jurisdiction of courts in Palakkad, Kerala.
  • VG Venues complies with the Information Technology Act, 2000, Consumer Protection Act, 2019, and all applicable Kerala State Regulations.
  • Guest data processed per our Privacy Policy and applicable Indian data protection laws.
  • VG Venues reserves the right to amend these terms with 30 days' notice. Continued use constitutes acceptance of revised terms.
  • Grievances: Contact our Nodal Officer at info@vgvenues.com or +91 97902 52429 within 30 days of the incident.
